Journal system for homeless hostels under section 110

A hostel stay may begin with little advance notice. Staff need to find the person's agreements, see room occupancy and leave a useful handover for the next shift. A coherent record from the first day

  1. Admission and the initial picture

    Record the time, reason for admission, contact details and agreements the next staff member needs. Distinguish information supplied by the person, documents from others and your own observations. Assign responsibility for contacting the municipality.

  2. The stay and the room

    Keep room allocation and relevant dates with the record. Separate planned from actual events so a room move is not mistaken for discharge. Agree how absence, return and changes are recorded in your service.

  3. Day-to-day support

    Record agreements, contacts and support provided. Relate observations to the goals for the stay and the person's wishes. A handover should make clear what has been followed up and what the next shift needs to do.

  4. Discharge and transition

    Bring together housing arrangements, support and named contacts when a stay ends. Record the actual discharge date and communication with the municipality. Ending a room booking does not necessarily mean that every support task has ended.

Section 110: accommodation, support and municipal contact

Section 110 of the Danish Social Services Act concerns temporary accommodation for people with particular social difficulties and an urgent accommodation need. Its purpose includes the transition to a home of their own and further support. It also sets out admission, discharge and notification of the responsible municipality. Read the current section 110.

Make responsibility for notification, timing and evidence of communication explicit in your workflow. Admission must be notified within three working days of the decision. Discharge has a separate rule: notification before discharge where possible, and no later than three working days afterwards.

The stay plan and the municipal plan

Practical agreements with the person need to connect with municipal plans and decisions. Record who issued a document, its date, goals and next review, so staff can identify the current agreements. A note about a conversation is not a replacement for the plan itself.

The Danish Authority of Social Services and Housing describes the population and services in its section 110 material. Your own service arrangements should inform the software choice.

A system change in four steps

  1. Define what needs to move

    List records, attachments, plans and history. Agree retention requirements, access rights and any need to consult the previous system.

  2. Check a sample export

    Agree an export format with your current supplier. Check that service users, notes, dates and attachments remain connected before confirming the scope.

  3. Test a working day

    Walk through a fictional case with the relevant professional groups. Check permissions, corrections, reports and exports; agree training and responsibilities.

  4. Approve the transition

    Agree the final export, cutover date and a fallback plan if there are delays. Check record counts and selected cases, then have the responsible person approve the result.

Does this cover different types of homeless accommodation?
The guide concerns records in Danish services operating under section 110. The population, organisation and division of responsibilities may differ. We therefore work through your admission, stay, municipal collaboration and discharge processes rather than assuming all services operate alike.
Does Validi automatically notify the municipality?
This page does not promise automatic submissions. We establish the information and recipients your process requires and any agreed integration options. Responsibility, communication channel and confirmation of delivery must be clear when the service starts.
Can we manage rooms and records in one system?
Validi includes room management, notes and care plans. In the demo, we can explore the relationship between a place, a period and the person's stay. Specific occupancy reporting and billing requirements are assessed individually.
What happens if the system is unavailable?
Agree an outage procedure before adopting a new system: who to contact, which information is essential and how to record work during the interruption. Backups and access during an outage are different considerations. This page does not promise a separate emergency record or a particular recovery time.
